As a Translator, Editor, or Reviewer, you can see the Jobs that have been assigned to you by Account Owner, Project Manager, Agency Account Owner, or Translation Resource Manager users in Smartling. The Jobs Dashboard enables you to view all of your tasks for all client accounts in one place, and from here you can easily access the Smartling CAT Tool.
The Jobs Dashboard give you an overview of all the Jobs with approaching task due dates, and where you can generate fuzzy estimates to better understand the effort required to complete the Job. Once your work is saved and submitted via the CAT Tool, the Job that is completed will no longer appear in the Jobs Dashboard list.
Accessing the Jobs Dashboard
Log in to Smartling to see the Jobs Dashboard.
By default, up to 500 Jobs are displayed per page. To display more Jobs, navigate to the next page in the Jobs Dashboard.
Navigating the Jobs Dashboard
The center-panel columns of the Jobs Dashboard will include the Job Name with associated project name underneath, a color-coded progress bar, the total word count of the entire Job, the due date, and the date the Job was created.
The Jobs Dashboard shows the following columns:
- Job Name: Includes the Job name, Project name (hyperlinked, that brings you directly to that specific project, and subsequently, your list of translations: Content > Translations), and Account name. Under Account name will display a flag with the number of Issues and a paperclip with the number of Job Attachments.
- Progress: A color-coded progress bar - purple bars represent Translation and orange represents Editing. Hover over the bar to display the target language and the step you are working on, and the percentage of translations saved of the total words in the Job. If you work on multiple locales for a Job, you will see multiple progress bars - each bar represents a locale.
- Words: The number of words in the Job.
- Task Due Date: The due date for your specific task. For example, you may only be completing a portion of the Job, not the entire Job.
- Job Due Date: The due date for the entire Job.
- Authorized: User who authorized the Job for translation.
- Open: Click to Open the CAT Tool
- Ellipsis: Click to get a Fuzzy Estimate for the Job. A fuzzy match estimate is only available for translation tasks and not editing tasks.
Working with the Jobs Dashboard
Work Not in a Job
You can access any tasks that are not in a Job by clicking on the button above your Jobs list. If you don’t have any work outside of Jobs, then you won’t be able to access the dialog.
- Click the link to tasks not in a Job
- View/Action the tasks not in a Job that are detailed in the dialog
Sort
You can sort the Jobs list by Account/Project, Jobs due date, task due date.
Preset Searches
You'll be able to quickly filter on the following preset searches:
- Current Work: If you've selected Current Work, you'll have the options to Export Content or Import Translations. Click the More (...) button under Actions and select one of those options. (If the "Offline work" feature is not enabled in the workflow step, Export Content and Import Translations will be greyed out, and you won't be able to select either of them.)
- Export Content: When using Export Content, Smartling prepares the following files for you:
- Content (to translate) - XLIFF file
- Glossary - TBX file
- Translation Memory - TMX file (50%+ matches for the content of the Job)
- Import Translations: When using Import Translations, you should upload the same XLIFF file with translations filled in. Once translations are uploaded, they have to be submitted to the next step (either from the CAT Tool or from Content > Translations).
- Export Content: When using Export Content, Smartling prepares the following files for you:
- Available to Accept: If you've selected Available to Accept, click Accept to add work to your queue.
- If there are Jobs listed in this preset that you do not intend to work on, click the ellipsis and Decline to remove this Job from this preset and allow other linguists to accept.
- Once the Job is Declined, you can review all declined jobs in the Declined Preset Search. From there, you can Accept any Declined Jobs. Any Job that is then Accepted by another translator will then disappear from the Declined Preset Search.
- You can also get a Fuzzy Estimate for the Job by clicking the ellipsis and Fuzzy Estimate.
- Upcoming: If there's a Job that contains strings in a workflow step that directly precedes yours, then the Job will be displayed in the "Upcoming" tab of your dashboard.
- Submitted: Only visible to Translation Resource users. This preset lists all Jobs submitted by the TR over the last 60 days.
- The Jobs can still be in progress but in a different workflow step or Completed.
- TR's will only see their work and not be able to review Jobs that have been submitted by other translators.
The Submitted preset filter is not yet available for Translation Resource Manager or Agency Account Owners.
Filters
You can filter for Jobs by the following filter dropdown menus:
- Priority:
- High Priority: Jobs are Jobs that the Account Owner or Project Manager of the account have flagged as the most important.
- Standard Priority: Jobs that have not been flagged as High Priority are standard.
- Accounts: Select or search for an account from the dropdown list.
- Projects: Select or search for a project from the dropdown list.
- Job: Type the Job's name or reference number.
- Workflow Step Type: Filter for Jobs that you have content in. Options include; Translation, Edit, Review, Post Translation, and Hold step types
