Translating Content

Upload / Download Files

To upload or download files in a Project, navigate to the Files tab. The Files tab is located from a chosen Project, between the Jobs and Strings tabs. This is where you can find and upload source files, action them, and where you can download translated files in a variety of forms. See the Supported File Types article for supported file types and formatting guidance.

Translated files are the same file format as the source file

Upload Files (New Experience)

To upload application resource files and business documents for translation:

Go to the Files tab > Upload Files. Alternatively, you can drag and drop files directly onto the page.

Upload Files (Classic)

To upload application resource files and business documents for translation:

Go to Projects > Content > Files > Upload File. Alternatively, you can drag and drop files directly onto the page.

Troubleshooting File Upload

If there's an error with uploading a file, you'll see an error message:

  • Ambiguous file type: Smartling analyzes the file and attempts to determine the type, but you may need to set the file type manually.
  • A file with the same name already exists: You have the option to overwrite the existing file or cancel the upload.
  • The file type is not supported: See Smartling’s supported file types.

Create a Job in the Files tab

  1. Once you have chosen a source file, click Request Translation
  2. Complete the fields in the Request Translation Portal;
    • Select a Job - by default, a new job will be created. You can choose to add the file to an existing job by clicking the dropdown a selecting an existing job name.
    • Enter the Job Name (required)
    • Description
    • Reference Number
    • Choose the Target Languages (required) - type the locale or click Select All
  3. Click Confirm.

The Jobs Dashboard will appear, and from here, you'll be able to authorize a job and get a cost estimate.

If you need to make an update to the content, you can update the source file and save with the same file name. Repeating the steps to upload will prompt you that the new file will overwrite the existing file. Click Confirm and Authorize to proceed with translating the updated content.

File Actions (New Experience)

Once you've uploaded a file for translation, you might want to rename it, add file instructions, download the original file, etc. There are a number of actions you can take on a file.

  • Go to Files tab
  • Select the file (top left corner of the file)
  • Click te 3 dots (right corner of the file)
  • Choose from one of the following actions

File Actions (Classic)

Go to Projects (select a project) > Content > Files.

  1. Use filters to retrieve your file.
  2. In the Actions column, click the more icon next to the Download button for your file.
  3. Select from one of the following options:
    • View translation files
    • Rename file
    • Delete file
    • Update file
    • Add file instructions
    • View API (will show you the upload/download cURL commands)

In-dashboard Content Capture (Classic)

It is recommended to upload content for translation using a file, so the translations can be downloaded from Smartling. For cases where the string you need to translate does not yet exist in a file, you can add a string manually in the Authorization queue:

  1. Go to Translations > Awaiting Authorization
  2. Click + Add a String
  3. Type the text of the string you need translated in the text box. The text box does support inline markup, such as <br>.The text and markup of the string must match exactly with what is published to your source site in order for the translation to be matched and served to end users.
  4. Click Add
  5. Authorize the string for translation

Strings that were added manually using the In Dashboard feature, can be located by searching for URL path /Strings.

Considerations

  • Strings added via the In Dashboard method will not have context.
  • Translations will not be available for download in a file. You will have to copy/paste translations into your destination system.

Download Translated Files (New Experience)

The Files tab allows you to download translated files, as a single-lingual output or a multiple-lingual output. This means you can download translated files separately, or download all translations in one file (provided the source file was configured this way. Consult the source file documentation for output options). You can also download your file in a specific language if not all languages are needed.

Download options include:

  • Download current translations: The content in its current state in the workflow.
  • Download only published translations: All published translations, including pre-published translations. (See note on pre-published translations below,
  • Download pseudo translations: Contains source strings with added characters where translations would apply. (See Pseudo Translations for more information.)
  • Download (published - debug mode): Your Smartling Customer Success Manager can download files in a debug mode. This shows details about the strings in the file from the parser-view (for debugging).

Download Translated Files (Classic)

  • Go to Content > Files and click the checkbox for each file you'd like to download.
  • Click the Actions drop-down menu and select Download Selected (in the New Experience, click the three dots instead). 
  • Select a download option and then click Download.

Download options include:

  • Original file: This is an exact copy of the uploaded source file.
  • Pseudo translations: Contains source strings with added characters where translations would apply. (See Pseudo Translations for more information.)
  • Instrumented file for context: This is a modified version of the original file with each string wrapped in invisible unicode characters generated from the string's hashcode.
  • Current translations: The content in its current state in the workflow.
  • Published translations only: All published translations, including pre-published translations.

Pre-published translations are strings that are still not yet complete but will be recognized as published when downloaded or on a GDN site. Pre-publishing is useful if you want to get translations live as soon as possible but still want the option to edit them later before the translation is finalized.

Download Translated Files by Language

  1. Do one of the following: 
    • In the New Experience, click the Files tab and then click the file.  
    • In the Classic Experience, go to Content > Files and click the file.
  2. You’ll see a list of files by language. Click Download on the language of your choice and select your download option as listed above.

Delete a File

There may be occasions when you need to delete a file. For example, if the file is no longer needed or the wrong file was uploaded. Deleted files are no longer available for download, but completed translations remain available for use. 

When content is deleted, strings become inactive. Click here to find out more about how inactive strings are handled.

To delete a single file:

  1. Do one of the following:
    • In the New Experience, in a project, click the Files tab.
    • In the Classic Experience, go to Projects (select a project) > Content > Files.
  2. Find the file you want to delete, then click the more icon and select Delete File. A pop-up window will prompt you to confirm the action.

To delete multiple files:

  1. Do one of the following:
    • In the New Experience, in a project, click the Files tab.
    • In the Classic Experience, go to Projects (select a project) > Content > Files.
  2. Select the checkboxes for all the files you want to delete.
  3. Click the Actions drop-down menu and select Delete Files. A pop-up window will prompt you to confirm the action.
