An Account Owner and Project Manager can give other users on the team more than one user role. For example, if you have a Project Manager on your team who is also an internal reviewer of your translations, they can be given an additional Translation Resource user role.
Note: Only Account Owners or Project Managers can grant an additional role to another user. The user receiving the additional role must have an active account, meaning they have accepted their invitation.
It is also important to note that no user has the capability to grant themselves an additional role.
Which additional role can be added?
The type of user role that can be added depends on the user's current role.

Account Owners, Project Managers, Requesters and Content Viewers can receive an additional "Translation" user role:
- Select Translation Resource Manager if the user needs to assign tasks to others and work on translations themselves.
- Choose Translation Resource if they should solely focus on translating, editing, or reviewing translations.

Project Manager, Requester and Content Viewer users can also be given an additional Account Owner role.
- This additional role can only be added by an Account Owner.
- A Translation Resource or Translation Resource Manager user can be given an additional Project Manager, Requester or Content Viewer user role. Account Owners can also grant a Translation Resource or Translation Resource Manager an additional Account Owner role.
- This only applies to users who are not registered with a translation agency in Smartling.
Info: If a "Translation Resource" or "Translation Resource Manager" user is registered under a translation agency, no additional user role can be granted.
How to Give a User an Additional User Role
Follow these steps to give an existing user an additional role:
- In Smartling, go to Team > Users.
- Click on the username of the user you want to give two roles to, in order to access their user details page.
- Click Manage User.
- From the dropdown menu, select the action Add Role.
- In the pop-up dialog, you will be able to see the user's current role, as well as all available roles that can be added. Select the role you would like to add.
- Proceed to give the user the applicable permissions and assignments for the additional role:
- If you are adding a project-based role (Project Manager, Requester or Content Viewer), select the project(s) that the user should have access to.

If you are adding a workflow-based role (Translation Resource or Translation Resource Manager), click "Add workflow assignments" to configure the workflow steps that the user should have access to.
Select the language pair, workflow and workflow step that the user should have access to.
Click "Add Assignment". You can add more language pairs and workflow steps as needed.
Once all workflow steps have been added for the user, click "Add Assignments and continue".⚠️ Please note that if a Translation Resource or Translation Resource Manager isn't given access to the right workflow step(s), they won't be able to view any content in their dashboard or work on any translations.
- To confirm the user's additional role, click Add Role.
Managing multi-role user accounts
If a user has more than one role, all their roles will be listed on the user list page. Their user details page will also display the "Multi-role" label to indicate that they have multiple roles.
Separate tabs for each role allow you to manage the project or workflow access and permissions for each role.
How to Remove a User Role
To remove an additional user role, delete all workflow assignments or project permissions from the role you want to remove:
- In Smartling, go to Team > Users.
- Click on the username of the user whose user role you want to remove.
- Click Manage User and select the option Remove Role.
- Select the role(s) you would like to remove.
- Removing a project-based role (Project Manager, Requester or Content Viewer) will remove the role, as well as the user's project access.
- Removing a workflow-based role (Translation Resource or Translation Resource Manager) will remove the role, as well as the user's access to any assigned workflow steps.
If there is currently still some content assigned to the user, you will first need to unassign the content (see Strings View Actions for more information on editing assignments).
- Click Remove Role to confirm.
How to Switch User Roles
If you have been given more than one user role in Smartling, this is how you can switch between each of your roles:
- Click the dropdown under your name
- Select the role you would like to switch to
- Your dashboard will automatically switch to the Jobs Dashboard the of the selected role
Certain bulk actions are only available to specific user roles. If you have multiple roles, switching roles during a bulk action may interrupt the process. To prevent this, you may be temporarily blocked from switching roles while a bulk action is in progress.
Notification Settings for Users with Two Roles
Users with dual roles have the ability to receive email notifications specific to both roles. To manage your settings, go to Notification Settings by clicking your name in the upper-right corner. You will see the relevant Notification options for the active role.
Some notifications are available for multiple user roles:
These notifications cannot be managed separately across user roles.
For example, if you have both Project Manager and Translation Resource roles, you will see the option to configure "Translation issue opened" notifications when you are actively using either role. If you disable this preference while you are working as a Project Manager, it will also be disabled when you switch to your Translation Resource role and vice versa.
