Notification Settings

Enable email notifications to help stay on top of content changes during the translation workflow process. Notification settings can be customized on a per-project basis.

You can reply to issues via email

If you have received any of the following notifications and noticed the information in the email is different from what you're seeing in the platform, it could be due any of the following features: SmartMatch behavior, Dynamic Workflows, or Notification timing.

Configure Email Notifications Per Project (New Experience)

  1. In a project, click your name in the upper-right corner > Edit Profile
  2. Click the Notifications tab.
  3. Select or clear the checkboxes next to each notification you want to receive.
  4. For some notifications you will have the option to receive the notification at regular intervals (approximately once every hour as needed) or just once a day.

Configure Email Notifications Per Project (Classic)

  1. Go to Projects Dashboard and select a project. 
  2. At the top right of the page, click the dropdown arrow next to your name.
  3. Select Project Notifications.
  4. Choose which notifications to receive by toggling the ON/OFF button for each setting.

Notification Options

Depending on your role, you will see one or more of the following notification options:

Jobs

 Notification

User Role Recipient 

Daily status report

Get notified with a list of Jobs awaiting authorization, in progress, or completed, within the last 24-hours. Account Owner, Project Manager, Requester
New Job requires approval Get notified when a Requester has submitted a Job, and you need to review and authorize. Account Owner, Project Manager
New Job notification Get notified when a new Job is created.  Agency Owner 
Job was rejected Get notified with an Account Owner or Project Manager rejects the Job submitted  Requester

Job was approved

 

Get notified with an Account Owner or Project Manager approves the Job submitted   Requester
 Job complete Get notified when the Job is complete.
This notification is sent to the user who created the Job, not necessarily the user who authorized the Job.
For example, if a Requester creates a Job and submits it to an AO/PM to authorize, the Requester will receive this notification when the Job is complete.

Content

Notification

Content available for authorization Get notified when new content is awaiting authorization. Account Owner, Project Manager
Content available for work assignment

Get notified when content is authorized and ready to be assigned.

 

Delivery Options

Near real-time: High frequency notification - sent within minutes of content being available, if any new content has been authorized. This is the default for each user role recipient

Daily: new events are batched up and the summary of the content is sent once a day; if anything new has happened.

Account Owner, Project Manager, Agency Owner, Translation Resource Manager
Content available for work

Get notified when the content reaches your step in the workflow. 

 

Delivery Options

Near real-time: High frequency notification - sent within minutes  of content being available in your step; if anything new has happened. This is the default for each user role recipient

Daily: new events are batched up and the summary of the content is sent once a day; if anything new has happened.

Account Owners, Project Managers, Agency Owner, Translation Resource, Translation Resource Manager

Content available for claiming

Get notified when the content is available for claiming. 

 

Delivery Options

Near real-time: High frequency notification - sent within minutes  of content being available for claiming. This is the default for each user role recipient

Daily: new events are batched up and the summary of the content is sent once a day; if anything new has happened.

Translation Resource 

 

 

Files

Notification

File uploaded

Get notified within minutes when a file has been uploaded.

 

Delivery Options

Near real-time: High frequency notification - sent within minutes  of files being uploaded to Smartling. This is the default for each user role recipient

 

Hourly: new events are batched up and the summary of the files uploaded is sent hourly; if anything new has happened.


Daily: new events are batched up and the summary of the files uploaded is sent once a day; if anything new has happened.

Account Owner, Project Manager
File ready for download

Get notified within minutes when a file can be downloaded, per language.

 

Delivery Options

Near real-time: High frequency notification - sent within minutes  of files being ready for download from Smartling. This is the default for each user role recipient

 

Hourly: new events are batched up and the summary of the files ready for download is sent hourly; if anything new has happened.

Daily: new events are batched up and the summary of the files ready for download is sent once a day; if anything new has happened.

Source issue (open, comment) Can get notified when a source issue is opened or commented upon. Account Owner, Project Manager, Requester*, Agency Owner, Translation Resource*, Translation Resource Manager*

Source issue closed

Can get notified when a source issue is closed. Account Owner, Project Manager, Requester*, Agency Owner, Translation Resource*, Translation Resource Manager*
Translation issue (open, comment)

Can get notified when a translation issue is opened, or commented upon.

Translation issue closed

Can get notified when a translation issue is closed.

Ensure no-reply@smartling.com is added to your list of accepted senders.
