As an Agency Account Owner or Translation Resource Manager, it is your responsibility to add your team of translators to Smartling.
Once a translator or editor has been added, you will need to give them access to at least one workflow step in order to complete the invitation process.

How to add a linguist to your Smartling team
To add a new linguist to your team in Smartling, follow these steps.
Create a new invite
- Log into your Smartling account as an Agency Owner or Translation Resource Manager.
- From the Projects dropdown, click into one of the projects you have access to.
Example:
- From the top navigation bar, click into the Team tab.
- From the dropdown menu, select the menu item Users.
- On the Users tab, click Invite User.
Provide email address(es)
Enter or paste the email address(es) of the user(s) that you would like to invite.
- To bulk-invite multiple users, separate their email addresses with a comma or a newline.
- A maximum of 100 email addresses can be added at a time.
Tip: As a best practice, it is recommended to add all users with the same role first, followed by all users with another role. This makes it easier to apply the same role to multiple users in bulk.
- Any invalid email addresses will be flagged by Smartling. This may be the case if an incorrect format is used, if duplicate email addresses are entered, if the maximum length of 256 characters is exceeded, or if the user already exists.
Click "Remove invalid emails" to remove invalid email addresses from the list of users to invite, then proceed.
Once all email addresses have been entered, click Next to continue.
Note: If you intend on re-adding a previously deleted user email address to Smartling, contact your Smartling Representative to re-activate the deleted email address.
Configure the user role
On the next screen, configure the desired role for each invited user.
- Agency Account Owners can add Translation Resource or Translation Resource Manager users.
- Translation Resource Managers can add Translation Resource users.
From the drop-down menu under the User Role column, select the role that best captures the user's tasks in Smartling.
If you would like to apply the same role to multiple users, click on the ellipses and select the option "Apply role below". This will apply the same role to all users in the list, who are listed below the user that is currently being edited.
Once the correct user role has been configured for all users, click Next.
Review and submit the invite
Review your invitations. Click Submit to confirm.
Invitation summary
An invitation summary will display the following information:
- Number of invitations that require workflow assignments. The linguist's invitation email is only sent after they have been granted one or more workflow assignments. Be sure to complete this step to trigger the invitation.
- Number of invitations that were not submitted due to an error.
Configure workflow assignments
Linguists need to be given access to at least one workflow step once the invite has been created.
Warning: This is essential to ensuring that the user will be able to log into their Smartling account and work on your content. The invitation email will not be sent until a workflow assignment has been added to the user's profile.
- Access the Invites tab of your Team Dashboard.
- Click on the name of the invited user with a Translation Resource or Translation Resource Manager role to access their user details page.
- Click Add Assignment to give the user access to at least one workflow step.
- Select a language pair they should be assigned to, a workflow, and at least one step.
- Click Add Assignment.
- If a user needs access to multiple workflows or steps, add further assignments by repeating steps 4 and 5.
- Click Save Changes to confirm the workflow assignments.
Completing the account registration
Once at least one workflow assignment has been added for the invited user, an invitation email will be sent to the linguist. The invited user needs to click the activation link in the email to open the registration screen.
If the linguist is already registered with Smartling, they will be invited to work on the specific account.
Tip: As the invite is sent from a "noreply" email address, we recommend checking the spam folder and making sure that noreply@smartling.com is marked as a safe sender.
