Adding a user to Smartling and giving them a workflow assignment allows them to access the content available in that workflow step. This will be useful for you to ensure that your Translators, Editors, Reviewers, or other team members have the appropriate access to content they are responsible for within your account.
You can add and remove a user's workflow assignments on their user profile.

How to Give a User a Workflow Assignment
- Do one of the following:
- Go to Team > Users to assign a freelance linguist (Translation Resource user) to a workflow step
- Go to Team > Agencies to assign an agency to a workflow step, provided that you have already added an Agency
- Go to Team > Users to assign a freelance linguist (Translation Resource user) to a workflow step
- Select the linguist you want to give a workflow assignment by clicking on their profile tile.
- Click Add Assignment.
- Select the languages, workflow, and step you would like to have this user access.
- If you don't see the workflow that you want assigned to the linguist listed, go to the workflow configuration and ensure that the workflow has the correct language pairs. Edit the workflow language pairs if needed.
- Click Add Assignment.
- Click Save Changes.
Managing Workflow Assignments on a Workflow Step
We recommend managing workflow assignments from the user's profile via Team > Users > User Profile. While it is possible to add or remove a user's workflow assignment directly on a workflow step through the Manage People list, there are some limitations and nuances. For this reason, we always suggest managing workflow assignments from the user's profile page.
To access the Manage People list:
- In a Smartling Project, go to the Workflow Configuration.
- On a workflow step, click the downward arrow and select Manage People.
- Select a language from the dropdown menu to view the users who have access to that step for the selected language.
If a workflow assignment has been added to a user's profile, they will appear in the Manage People list with a checkmark next to their name. You can uncheck the box to remove their workflow assignment, which will automatically remove the assignment from their user profile.
If a linguist appears in the Manage People list without a checkmark, you can check the box next to their name to give them access to the workflow step. The workflow assignment will be automatically added to their user profile.
Considerations and FAQ
- Users with a checkmark in the Manage People list have a workflow assignment for that exact workflow step and locale.
- Users without a checkmark in the Manage People list have another workflow assignment for the same locale pair, but for a different workflow and/or workflow step. This makes them eligible for a "quick add," and you can check the box to add the workflow assignment to their profile.
Why do I see some users in the Manage People list without a checkmark?
This means the user has a workflow assignment for the same locale pair, but for a different workflow and/or step. For example, if the workflow is for en-US > fr-FR, they have a workflow assignment elsewhere for en-US > fr-FR. You can check the box next to their name to add the workflow assignment to their profile.
I unchecked a user in the Manage People list and they disappeared from the list. Why?
This means the user no longer has any active workflow assignments for the same locale pair. Unchecking the user removes the workflow assignment. For example, if the workflow step is for en-US > fr-FR and you uncheck the user to remove their workflow assignment, they will be removed from the Manage People list entirely if they have no other workflow assignments for en-US > fr-FR.
