Content Viewer users can see source content strings and translations, but not take any action on them. This role has a "read only" level of access and cannot create new translation Jobs, update or download translations, modify any linguistic assets, or manage other user accounts.
Tip: If you are a Content Viewer and require some new content to be sent for translation, please contact an Account Owner or Project Manager user within your organization.
Activate your Profile
When an Account Owner or Project Manager user creates a Smartling account for you, you will receive an email invitation to activate your profile. As this invite is sent from a "noreply" email address, ensure to check Spam and make noreply@smartling.com a safe sender to your mailbox.
To activate your profile, click the "Get started" link in the invite.
Once you activate your Smartling profile by following the steps on the email invite, you will be brought to your Smartling Dashboard.
Since Content Viewers don't need to take any action, you will not receive any email notifications from Smartling. No further setup is needed to complete your account registration.
Content Search
The Content Search in your Smartling dashboard allows you to search for any content that you have access to - whether it is already translated or not. You can find more information about the Content Search here.
In Smartling, translatable content (e.g. a file to translate) is automatically split up into smaller translation units called "strings".
The Content Search displays all available strings for each of its target languages.
If you prefer viewing each string only once, click the checkbox "Show source language only".
Filters
To narrow down your search, use the filters on the left side. You can find more information about all available filters here.
Actions
Content Viewers have "read only" access to the Actions menu for each string.
Click on the ellipses to view the following string details:
View History: You can access the string history to see which actions were taken on a string.
Context: From the same pop-up window, you can also access any visual context that may be available for a string. Visual Context provides a visual representation of the environment (e.g. the file or webpage) where the translations will appear, and therefore can help improve the translation quality.
Check the Translation Status
The Content Search allows you to check the translation status of each string.
In Smartling, when content is uploaded for translation, it is "Awaiting Authorization". This means that the content is available in Smartling, but the translation process has not been kicked off yet.
When an Account Owner or Project Manager authorizes the translation Job, the status updates from "Awaiting Authorization" to "In Progress".
The translations will now go through a pre-defined set of steps called a "Workflow". The "Status" column of your dashboard displays both the overall status and the exact workflow and workflow step that a string is currently sitting in.
Once all workflow steps have been completed, the translations are considered as "Published" in Smartling.
Depending on the exact tools and integrations used for your localization processes, additional steps may be required in order for a "published" translation to be publicly available on your website or application.
If a string should not go through the translation process but appear in the source language instead, it can be "Excluded" by a Project Manager or Account Owner user.
Customize your View
You can either use Smartling's default view, or customize the columns in your dashboard to your liking.
