Managing the Translation Process

Manage Jobs In Progress

Once you have created a Job and authorized it, the translation process begins and the Job is in progress. Using the Jobs Dashboard will give you a high-level overview of all Jobs in the account and project. To view and manage a Job in detail, enter the Job by clicking the Job name.

Edit Job Details 

Within the Job, you can view, manage, and edit the Job details. The Job details are located on the left-hand panel of the Job. 

  • Under Job Summary
    • Rename / Cancel Job: click the gear icon and select Rename Job / Cancel Job
    • Edit Due Date: click the due date and update
  • Under Job Attachments
  • Under Additional Details
    • Update the Job Reference Number: click Add Reference Number
    • Update the Job Description: click Add Description

Manage Job Assets

Within the Job, you can view, manage, and edit the Job's assets. The Job's assets are located under the respective tab names within the Job

Languages

The Languages tab lists all of the languages in the Job and their current state.

  • Languages:
    • Add another target language to the Job: click Add Languages
    • Remove a target language from the Job: click the 3 dots under Actions > Remove Language
  • Progress: The color-coded progress bar indicates the workflow step the languages are in. Hover over the bar to view the workflow step.
  • Total Words: The number indicates the total word count for that language in the Job. This is also a quick link to the String View, filters for the Job, and language.
  • Actions: click to Open the CAT Tool for that language.

Files

The Files tab lists all of the files in the Job and their current state.

Add File: click to upload another source file to the Job. You can drag and drop or select files from your local drive. By default, files will be added to the Job for all languages. Click Select languages to choose the target languages for the file. The content in this file will stay in Awaiting Authorization until you click Authorize. 

Download Files: click to download translated files. Select how you want the translated files to be downloaded;

    • Subfolders for languages: Downloads a .zip file containing one folder per language for translated files. No language code will be added to the translated file name.
    • Languages in file names: Downloads a .zip file containing one file per language for each file in your translation job. The language code will be added to the translated file name.
    • Subfolders for languages and languages in file names: Downloads a .zip file containing one folder per language for translated files with the language code in the file name.
  • Progress: The color-coded progress bar indicates the workflow step the languages are in. Hover over the bar to view the workflow step.
  • Total Words: The number indicates the total word count for that language in the Job. This is also a quick link to the String View, filters for the Job, and file.
  • Actions: Click the downward arrow to download files. Here you can download translated files as detailed above, or choose to download the source file. Click the 3 dots to remove the file.

Workflows

The Workflows tab lists the workflow each locale is translated in. The number indicates the total word count on each step. This is also a quick link to the String View, filters for the Job, language, and workflow step.

Here, you can add specific deadlines for each workflow step by clicking Add Dates for Workflow Steps. This will open the locale list for the job and a field to input the specific time and due date for each workflow step. Once you input a deadline for a workflow step and click Save for one locale, you can apply the same deadline for that workflow step to all locales, by clicking Apply to all languages.

Click Delete to remove the workflow due date.

Click the back arrow beside Manage Due Dates to return to the Job.

History

The History tab lists the actions taken on the Job. You'll be able to see the following:

  • Job creation
  • Status change
  • Content added
  • Content removed
  • Due date changes

Events are listed in descending order and aggregated by type and time. For example, let's say, during the span of 1-hour, you added 1000 strings, one by one. Smartling will group your actions using increments of 10 min:

  • You added 240 strings at 1:45PM
  • You added 160 strings at 1:23PM
  • You added 500 strings at 1:11PM
  • You added 100 strings at 1:00PM

Quality

The Quality tab displays the Quality Confidence Score, which is only available once the job is completed.

 

Edit Job Name, Description, or Due Date (Classic)

  1. Select the Jobs menu in the top navigation.
  2. Click the name of a job to show its details.
  3. Click the job name to edit it.
  4. On the right hand side of the page, click the Due Date, Description or Reference Number to edit the field.

View Strings in a Job (New Experience)

You can easily view all strings within a Job.

  1. Enter the Job by clicking the Job Name
  2. Under Job Summary, click View Strings
      • This will bring you to the Strings View, filtered for the Job. Read about Strings View functionality here.

View Strings in a Job (Classic)

You can easily view all strings within a Job.

  1. Enter the Job by clicking the Job Name
  2. On the right-hand side of the page, click the Content > View Strings link.

This will bring you to the List View, where you can do the following;

  • Search for a string by keyword and/or language(s). Source strings are shown by default.
  • If you select one or more languages from within the Languages drop-down, you'll then see a list of strings with their associated translations.
  • If the string has not yet been authorized, "Not Authorized" will appear instead of a translated string. However, you can authorize all content in the job using the Authorize button from the job details or job list views.
  • If the string has been authorized but not yet translated, a hyphen (-) will appear instead of a translated string.
  • For a more detailed view of the string, click the relevant row.

At the moment, there are a couple of limitations that you should be aware of:

  • Entities such as " & are not unescaped. 
  • Placeholders and HTML tags are displayed as plain text.
  • This feature is not available for Requesters
