Smartling's Content Assignments Dashboard provides an account-wide overview of the users assigned to work on your content.
For example, the Content Assignments Dashboard allows you to:
- Check how much content is currently assigned to each Translation Resource.
- Identify which content is currently not assigned to any Translation Resource.
- Check which agencies or users are assigned to work on the content in progress for a certain language or workflow.
With this powerful tool, you can easily track how much content is assigned to each linguist and quickly identify any unassigned content.
Designed for flexibility, the dashboard features a fully customizable pivot table, allowing you to tailor data views to your specific needs. Whether you’re managing large-scale translation projects or optimizing resource allocation, the Content Assignments Dashboard can help streamline workflows and improve efficiency.

How it works
The Content Assignments Dashboard displays the word count for each row of data in the table. For example, by using one of the preset searches or creating a custom view, you can quickly see a breakdown of the number of words in a specific job, assigned to a specific user, or content that requires assignment, meaning it is not currently assigned to any user. You can then use this data to manage content and user assignments directly from the dashboard.
Please note that the dashboard is optimized to display content in workflow steps where content assignment is enabled. When using preset searches such as “Jobs Requiring Assignment,” results may include jobs where content assignment is not enabled.
Accessing the Content Assignments Dashboard
In the top navigation of your Account dashboard, click into Team > Content Assignments.
Default view
By default, the Content Assignments Dashboard displays a list of jobs across all projects.
- The column Past Due displays the number of words that are still in progress for the respective job, even though the step due date has passed.
- The column No Due Date displays the number of words in each job where no step due date has been set.
The Due Date column refers to workflow step–level due dates, not overall job due dates. These dates reflect the due date of each specific workflow step. Workflow step due dates can be added automatically by configuring a due date profile.
Preset views and searches
To quickly filter data for common use cases, you can use Smartling's preset views and searches.
Preset views
Click View to access the following preset views:
- Assigned Words by User
- Agency Work by Due Date
- Work Step Type by Language

Click Filters to access the following preset search:

Jobs Requiring Assignments
- Right click on the job name to quickly open the job details page, or to open the job in the Strings View.
- From the Strings View, apply additional filters as needed (for example, filter for a specific target language).
- From the Strings View Actions menu, select the option "Edit Assignments" to assign content to a preferred linguist.
- Right click on the job name to quickly open the job details page, or to open the job in the Strings View.
In addition to the preset options, you can save any custom view or search for easy reference.
Customizing the Content Assignments Dashboard
The Content Assignments Dashboard offers a flexible, interactive table that helps you visualize and manage content assignments. Use the fields and filters available on the left hand side to customize the view to best suit your needs. Once you have created your desired view, you can save it for easy reference at any time.
View Options
Use the View panel to select which fields appear in the table.
View
The View panel determines which rows and columns are displayed in the table. Any selected fields are automatically added as rows and are shown under the column titled Group. A second column, called sum(Words), shows the total number of words for each row of data.
Rows
Reorder the values under Rows to define how the rows are structured in the table. The order of the fields determines the data hierarchy. For example, if Agency is listed first, the top-level grouping in the table will be Agency. To reorder, click the grip icon next to the name of a row and drag it to the desired position.
In the example below, the rows are ordered: Agency, Project, Job, Language, Workflow Step, and User. Therefore, the table displays the data in this cascading structure: Agency > Project > Job > Language > Workflow Step > User.
Columns
Use the Columns section to break out your data into additional columns based on the selected fields. For example, if you select Due Date, it is automatically added as a column. This allows you to see how much content is due on each displayed date and who it is assigned to.
You can add more than one column. The first value you select will appear as the main column header, and additional values will further divide the data into sub-columns.
For example, if you select Due Date as the primary column and Workflow Step Type as the secondary column, each date column will display the number of words due on that date, broken down into separate columns for each workflow step type.
Additional Column Options
Click the three-dot menu next to a column name to access additional sorting and grouping options. From this menu, you can also pin columns, expand or collapse rows, autosize columns, etc.
Filters
Filters allow you to control which data is visible in your table. For example, if you want to only view data for a specific locale, you can navigate to the Filters panel and select that one locale. The table will then display only the data relevant to your selection, simplifying your view and making it easier to focus on the info you need.
Save a custom view or search
In addition to using the preset views and searches, you can save a custom view or search to reference at any time.
To save a custom view:
- Within the View panel, create your desired layout configuration.
- Click Save View.
- A window will appear where you can enter a name for the view.
- Click Save.
- You can rename, overwrite, or delete the saved view by clicking the three-dot menu next to the view name.
To save a custom search:
Similarly, you can save a custom search, which will save any selected filtering options:
- Within the Filters panel, create your desired search using the available filtering options.
- Click Save Search.
- A window will appear where you can enter a name for the search.
- Click Save.
- You can rename, overwrite, or delete the saved search by clicking the three-dot menu next to the search name.
Custom views and searches are unique to individual users. If you create a saved view or search, it will not appear for other users.
Taking action from the Content Assignments Dashboard
The Content Assignments Dashboard allows you to take action on the content displayed in the table. For example, you can assign, reassign, or unassign content, or add workflow assignments to a user’s profile. The dashboard provides quick access to the relevant pages needed to perform these actions.

To take action on any of the jobs displayed in the dashboard, right-click on the job name to access the job details, or to open the job in the Strings View.
From the Strings View, you can apply additional filters as needed to focus on the content that requires attention. Use the “Edit Assignments” option from the Actions menu to assign content to a preferred linguist or take other actions, such as submitting content to the next step in the workflow or use the “Change Workflow” option to move the content into a different workflow.
Workflow actions
- Open Workflow Details
Right-click on a workflow name to open the workflow details page. This will redirect you to the account workflows page, filtered for the selected workflow. From here, you can modify the workflow, for example by adding or removing steps.
Workflow step actions
- Open Workflow Details
Right-click on the name of a workflow step to open the workflow details page. This will also redirect you to the account workflows page, filtered for the selected workflow. From here, you can view or make changes to the workflow step settings, by clicking the step and selecting Manage Step.
User actions
- Open user workflow assignments
Right-click on a user’s name to open their profile page and view their workflow assignments. From here, you can add or remove workflow assignments.
Adding a workflow assignment gives a user access to content in that workflow step when content assignment is disabled, but it does not assign them to any specific content. To assign content, ensure that content assignment is enabled on the workflow step and use the "Edit Assignments" option in the Strings View Actions menu or assign content from the Jobs Dashboard.
